Nairobi, 29th March – 1st April 2022

Following a successful first day of training, the Co-operative Alliance of Kenya (CAK) continued to participate in the AIRTEA Third-Party Projects Kick-Off Meeting from 29th March to 1st April 2022. The subsequent days focused on practical exercises, group discussions, and collaborative sessions on project management, technical aspects, and stakeholder engagement relevant to the dairy sector in East Africa.

Day 2: Strengthening Project Management Skills

The second day emphasized project planning, reporting, and financial management. Participants were divided into discussion groups at tables, enabling interactive learning and peer-to-peer exchange. Each group tackled realistic scenarios, such as planning project activities under tight timelines, budget reallocations, and stakeholder communication challenges.

  • Interactive budgeting exercises: CAK staff practiced allocating resources for different project activities while ensuring compliance with donor requirements.
  • Reporting simulations: Participants created mock progress and financial reports to understand common errors and best practices.
  • Collaborative problem-solving: Groups discussed strategies to mitigate risks such as delays in procurement or unexpected funding constraints.

The day concluded with feedback sessions, where groups shared lessons learned, highlighting the importance of collaboration and accuracy in reporting for project success.

Day 3: Procurement, Compliance, and Governance

Day three focused on procurement management, compliance, and governance—essential elements for donor-funded projects. Participants engaged in scenario-based exercises, simulating procurement processes including vendor selection, tender evaluations, and contract management.

  • Importance of transparent procurement practices to ensure value for money and compliance with EU regulations
  • Documentation and record-keeping as a foundation for audit readiness
  • Ethical decision-making and adherence to governance structures within project implementation
  • Group discussions on challenges faced by partners in past projects, and collaborative solutions

Participants worked at tables in interactive discussions, allowing them to share experiences, exchange ideas, and identify solutions applicable to the AIRTEA projects.

Day 4: Monitoring, Evaluation, and Stakeholder Engagement

The fourth day emphasized Monitoring & Evaluation (M&E) and stakeholder engagement, essential for tracking progress, measuring impact, and ensuring inclusivity in project implementation.

  • Designing indicators: Groups developed measurable indicators for activities such as dairy farmer training, cooperative capacity building, and market linkages.
  • Data collection techniques: Participants learned methods for gathering accurate data from farmers, cooperatives, and other stakeholders.
  • Engaging stakeholders effectively: Practical exercises simulated meetings with government agencies, research institutions, and cooperatives to practice communication and negotiation skills.

Discussions at tables encouraged participants to share country-specific experiences, ensuring lessons from Kenya, Rwanda, and Uganda informed project strategies. Participants reflected on the importance of inclusive approaches, particularly for women and youth in dairy value chains.

Day 5: Consolidation, Action Plans, and Moving Forward

The final day focused on consolidation of learning, action planning, and project implementation strategies. Participants revisited earlier sessions to integrate knowledge from reporting, procurement, financial management, M&E, and stakeholder engagement into practical plans.

  • Developing work plans: Each group created draft action plans for the next phases of the AIRTEA third-party projects, identifying responsibilities, timelines, and deliverables.
  • Peer review: Groups presented their plans for feedback, allowing participants to refine approaches and address potential gaps.
  • Reflections on lessons learned: Participants discussed key takeaways, challenges, and strategies to ensure project success on the ground.
  • Networking and collaboration: The session reinforced partnerships among implementing partners, researchers, government agencies, and private sector actors, highlighting the importance of coordination and communication.

By the end of Day 5, CAK staff and other participants were well-equipped to implement AIRTEA third-party projects effectively. The hands-on discussions and collaborative exercises strengthened their capacity to manage projects transparently, engage stakeholders inclusively, and achieve sustainable impact in the dairy sector.

Outcomes from Days 2 to 5

  • Enhanced capacity in project management, procurement, M&E, and reporting
  • Improved problem-solving and risk mitigation skills through scenario-based exercises
  • Strengthened stakeholder engagement and collaboration across multi-stakeholder platforms
